PACS Portal - Frequently asked questions

Why do I need to use the PACS Portal?

The PACS Portal is the platform used by DCJ to provide you with information regarding your contracts and payments, as well as managing acquittals.

This includes all active contracts, previous contracts, and if you are in the process of negotiating new contracts, the draft contract details.

The PACS Portal also provides a platform for collaboration between service providers and DCJ contract managers.

What can I do in the PACS Portal?

The portal provides ease of access to providers, who can easily navigate through the portal’s menus and tiles and find resources, forms, and help. Some of the functions of the portal are:

  • Dashboards and reports: Dashboards and downloadable reports with summaries of funding, contracts, actions, payments, and accountability status.
  • Communications: Access to action items and corporate messages, with the ability to respond to and update items and messages and collaborate on annual accountability.
  • Contracts: Access to active, draft, expired, closed and terminated contracts and subcontracting details, and the ability to sign new or varied contracts.
  • Payments: Information about scheduled payments, payment history and funding allocation, and the ability to download RCTI or advice of deposit.
  • Accountability: Access to current and previous financial years’ corporate and contract accountability forms, with the capacity to undertake annual accountability including communication and uploading documents.
  • Documents: Access to repository of documents in PACS including correspondence, contract documents and notifications, and the ability to upload documents.
  • My provider: Access to provider contact, legal, financial and accreditation information, with the capacity to manage and amend information directly or via online request to the DCJ PACS admin team.

Will I be trained in the new PACS Portal?

Ongoing training will be provided throughout 2024 as needed, for example, ahead of the next round of annual accountability.

User documentation is available within the portal to show users how to undertake the different functions available in the portal.

How do I get access to the PACS Portal?

To enhance cyber security protection, all users of the PACS Portal will be provided with an OKTA account and will be required to undertake multifactor authentication to use the portal. This is in accordance with DCJ security policies.

  1. If you were an existing user of the Contracting Portal, you will be provided with new login details for the PACS Portal. Previous portal administrators will be made administrators for your organisation in the new PACS Portal.
  2. After the PACS Portal is live, if your organisation already uses the PACS Portal   and you have new staff that require access to the PACS Portal, your administrator can request new users via the portal.

    The request will be sent to the PACS Admin team who will process the request for a new OKTA login account.  New users will receive an email with login credentials and instructions for setting up their OKTA account and access to the portal.  The initiator of the new user request will receive confirmation once the request has been fulfilled.

  3. (iii)If your organisation was not previously using the Contracting Portal, or if the previous staff who had access to the Contracting Portal have left your organisation, contact PACSsupport@dcj.nsw.gov.au.

Users can reset their password in the PACS Portal. Go to the PACS Portal login page, click on “Need help signing in?” and follow the prompts. You will be presented with two options, “forgot password?” or “unlock account”.

In the event of needing to reset your password, click on “forgot password”.

Can I use a generic email address for any staff to access the portal?

DCJ acknowledges that a number of organisations prefer to use a generic email address so that staff and board members can access important information.

To meet the required security standards that protects your information each user must have a unique email address and access the portal using their own account.

Can we have more than one administrator?

Yes, you can have as many administrators for your organisation as you decide. A PACS Portal administrator can request other users to become administrators.

What happens if the portal administrator leaves or goes on holiday?

You can have multiple administrators for the PACS Portal at any time. If you need to remove or change an administrator, this can be done by contacting PACSsupport@dcj.nsw.gov.au.

Who else will be able to see my service’s information?

Anyone from your organisation who has been granted access by your PACS Portal administrator and DCJ staff will be able to access and view your information. Other service providers will not be able to view your information.

What support will be available to me and my service?

The PACS Portal has help topics that will remain available to users. The DCJ PACS Admin team can provide additional support and you can contact the team by emailing PACSsupport@dcj.nsw.gov.au or by telephoning 9716 2188 during business hours.
